Kelley HVAC Pro ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our mobile application.
Information We Collect
We collect information that you provide directly to us, including:
- Account Information: Email address and password when you create an account. We also support Face ID and Touch ID for quick login (biometric data is processed on-device only and never stored on our servers).
- Business Information: Company name, contact details, and business preferences
- Customer Data: Names, addresses, phone numbers, and email addresses of your customers that you enter for estimates and invoices
- Estimate and Invoice Data: Job details, equipment information, pricing, and service descriptions
- Camera and Photo Data: Photos you take using the camera to photograph job sites and equipment data plates (for OCR/estimate generation). You can also select existing photos from your photo library to attach to estimates. These images are stored on our servers and may be processed by OpenAI for AI-powered estimate generation.
- Biometric Data: Face ID and Touch ID biometric data is used only for device authentication and is processed entirely on your device. We do not store, transmit, or retain any biometric data on our servers.
- Payment Information: For in-app subscriptions, payment information is processed securely through Apple In-App Purchase via RevenueCat. For HVAC service invoices (physical services), payment information is processed through our secure payment processor (Stripe). We do not store your full card details on our servers.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process transactions and send related information
- Send estimates and invoices to your customers on your behalf
- Generate AI-powered estimates and recommendations using OpenAI's API. Job details, descriptions, and images may be sent to OpenAI servers for processing. Please review OpenAI's privacy policy to understand how they handle this data.
- Respond to your comments, questions, and support requests
- Monitor and analyze usage trends to improve user experience
Data Storage and Security
Your data is stored securely using industry-standard encryption and security practices. We use Firebase for authentication and data storage, and Stripe for payment processing. Both services maintain strict security standards and compliance certifications.
Third-Party Services
We use the following third-party services:
- Firebase (Google): Authentication (including support for Face ID and Touch ID) and database services for storing estimates, customer data, and business information
- RevenueCat: In-app purchase management for subscription processing through Apple In-App Purchase
- Stripe: Payment processing for HVAC service invoices (physical services only, not in-app subscriptions)
- OpenAI: AI-powered estimate generation assistance. Job details, descriptions, and images are sent to OpenAI for processing.
- SendGrid: Email delivery for estimates and communications
These services have their own privacy policies governing the use of your information.
Data Retention
We retain your information for as long as your account is active or as needed to provide you services. You may request deletion of your account and associated data at any time by contacting us.
Device Permissions
Our app requests the following device permissions to provide its functionality:
- Camera: Used to photograph job sites and equipment data plates. These photos help generate accurate estimates and capture important equipment information through OCR technology.
- Photo Library/Photo Picker: Used to select and attach existing photos from your device to estimates. This allows you to supplement job site documentation with relevant historical photos.
- Biometric Authentication (Face ID/Touch ID): Used for secure, convenient device unlock. Biometric data is processed entirely on your device and never sent to our servers or stored anywhere.
- Local Authentication: Used to enable password-protected login for your account as an alternative to biometric authentication.
Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and data
- Export your data in a portable format
- Opt out of marketing communications
Children's Privacy
Our service is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13.
California Privacy Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete your information, and the right to opt out of the sale of your personal information. We do not sell your personal information.
